Select the required owner to display a list of existing notes for the selected owner.
To send the note to the owner, click the envelope icon displayed for the required note. The system will create the note for the owners and will display the note to indicate that the email is ready to send. When you close the displayed note the system will proceed to the email program and display the notes waiting to be emailled. If no notes are displaying, click the Notes button at the Select Required Emails heading.
When you select the required owner a list of that owner's notes will be displayed.
Click Add Note or click the date field of an existing note the following screen will be displayed. Complete the various fields and click Add or Update to save the currently displayed entry.
Note Date: Enter the date for this note, the date will default to the current end of period date.
Select Template: Select Template will allow you to select a previously defined template for this note. If the template contains #OWNERNAME or #CONTACT these values will be replaced by the Owner Name and Contact name when the template is selected.
Email: The email address for the owner is displayed. If the address is missing or incorrect it may be corrected and will be saved to the Owner database when the note is saved.
Notes Delivery: The Notes Delivery setting for the owner is displayed. It may be amended as required and any changes will be saved to the Owner database when the note os saved.
Publish: Select Publish if you intend to email this note to the owner. If you leave the Publish field unticked the system will assume that the note is for private purposes and will not be able to be emailed.
Subject: Enter a short description that will be used as the email subject.
Note Text: Enter the email text. You can make the field larger by clicking and dragging the icon on the bottom right hand side of the text field.
Attachments: Three attachments can be added to the email. Simply drag and drop the attachment in the space provided. The attachments can be either .jpg or .pdf files.
